Stripe Integration for SMEs: Payment Workflows That Actually Work
A good Stripe integration connects payments to your processes: checkout, automated invoices, subscription management, refunds and hand-over to accounting or your CRM. What matters most is that your system reliably receives and verifies payment confirmations from Stripe.

Accepting online payments sounds trivial — until you actually implement it. Taxes for different EU countries, an SCA-compliant checkout, automated invoices, subscription management, refund handling, reliable webhooks. This article shows what a clean Stripe integration looks like and which pitfalls SMEs should avoid.
Why Stripe and not PayPal, Mollie or Adyen?

For SMEs in the DACH region with technical ambitions, Stripe is the best choice for three reasons:
- The most developer-friendly API — consistent, well documented, with excellent SDKs for Node.js, Python and PHP
- Flexibility — everything is possible, from a simple payment link to complex marketplace flows (Stripe Connect)
- Compliance support — PCI DSS and SCA (3D Secure) are built in, and EU tax calculation can be added with Stripe Tax (a paid add-on)
The downside: Stripe is not a plug-and-play button. Full functionality requires a clean technical integration — and that is exactly where we come in.
The three most common Stripe integration scenarios
1. One-off payments with Checkout Sessions
The simplest scenario: a customer buys a product or service, pays once, done. Stripe Checkout Sessions provide a hosted, PCI-compliant payment page — you don't have to process any card data on your own server.
Important: don't rely solely on the redirect after payment — also use webhooks, the automatic notifications Stripe sends directly to your server. The redirect can fail (browser tab closed); the webhook arrives reliably.
2. Subscription models
Website leasing, SaaS products, monthly services — all of them need recurring payments. Stripe Subscriptions manage the entire lifecycle: creation, renewal, upgrade/downgrade, cancellation and dunning. This fits perfectly with our website leasing model.
3. Marketplace/platform (Stripe Connect)
If you are building a platform on which third parties sell (a marketplace, booking platform or freelancer portal), you need Stripe Connect. It manages the money flows between you, the seller and the buyer — including automatic fee splitting and regulatory-compliant payouts.
Technical best practices

- Webhooks are mandatory — and your system must be able to handle duplicate notifications: any webhook can arrive more than once, so each event is processed only once, based on its unique identifier (event.id).
- Enable Stripe Tax — automatic VAT calculation for the EU, UK and US. It saves you the tax-compliance nightmare.
- Use the customer portal — Stripe offers a hosted portal where customers can manage their payment methods, invoices and subscriptions themselves.
- Use test mode rigorously — EVERY workflow must work in test mode before it goes live. Use the Stripe CLI for local webhook testing.
We typically implement the integration itself with Next.js API routes and system integration via webhooks to ERP/CRM systems.
Pitfalls that cost money
- Missing webhook verification — without a signature check, anyone can send fake events to your endpoint
- Incorrect tax configuration — reverse charge for B2B, national VAT for B2C, thresholds for EU distance selling — all of this has to be configured correctly
- No retry logic for failed payments — depending on your settings, Stripe automatically retries failed subscription payments — make sure your system tracks the status correctly
- Hard-coding prices instead of using Stripe Products — use Stripe, not your code, as the single source of truth for prices
What does a Stripe integration cost?
Stripe itself: 1.5% + €0.25 per transaction (EU cards). For the custom development of the integration, we estimate depending on complexity: simple checkout (3–5 days), subscription system (1–2 weeks), marketplace with Connect (3–4 weeks).
Stripe and Austrian accounting
Stripe can create invoices and calculate VAT on request, but it does not replace your accounting. For your tax adviser to work with the data, you need a clean hand-over:
- Reconcile payouts: Stripe pays out revenue in batches and deducts its fees beforehand. Every payout must be traceable to the individual payments.
- Hand over documents: invoices and fee receipts should flow automatically into your accounting system or to your tax adviser instead of being exported by hand every month.
- Check invoice requirements: Austrian invoices need, among other things, sequential numbers and the UID number (Austrian VAT ID). This must be set up correctly in the Stripe invoice template.
Reconciliations like these are easy to automate with n8n.
Checklist before go-live
- All payment paths run through in test mode, including a failed payment and a refund
- Webhook signatures are verified and duplicate events are detected
- Tax settings for private and business customers checked
- Customer portal for subscriptions and payment methods enabled
- Alert set up in case webhooks fail repeatedly
