System Integration & API Development

Systems that talk to each other — instead of sitting side by side.

We build interfaces that connect your existing software: ERP, CRM, online shop, accounting. Instead of entering data manually in three systems at once, a clean API integration keeps everything in sync in real time. Built once — it runs automatically, with error monitoring and retry logic for production use.

Architecture

How our integrations work

Typical Challenges

Does this sound familiar?

Data silos between ERP and CRM

Your sales team works in HubSpot, but orders and invoice status live in Weclapp. Result: sales reps constantly check the ERP for updates. A direct API sync shows real-time status without switching systems.

Inventory counts never match between ERP and shop

Your Shopify store shows "in stock" but Weclapp says zero. Customers order unavailable products — cancellations and frustration follow. Real-time ERP-to-shop sync prevents this permanently.

Manual invoice entry into accounting

Every month, someone types invoices from ERP into your accounting software. That costs hours every month, and every manual copy is a source of errors. An API connection transfers the data automatically.

Reporting takes days, not minutes

Monthly reports require manual data compilation from 3-4 systems in Excel. It takes 3-5 days — every month. Integrated systems generate reports at the click of a button.

Our Solution

How we solve it for you

Connects your existing systems — no more manual data transfer

Automated processes: orders, stock, invoices — all in sync

Weclapp, Billbee, Shopify, WooCommerce, Lexoffice and more

Secure data transfer, error logging and monitoring included

Maintainable code — no vendor lock-in, complete documentation

Consistent reporting from one data flow instead of manual pivot tables

In Detail

What you get — and why it matters

Your systems should talk to each other — not turn you into a data courier.

Everyday life in a typical SME: copying data from Weclapp into the CRM, entering shop orders manually in the ERP, typing invoices from the ERP into the accounting software. That costs hours every month — and every manual copy is a source of errors that cause knock-on mistakes.

A professional system integration connects your tools seamlessly and in both directions: ERP ↔ CRM ↔ shop ↔ accounting. Data flows automatically, in real time, both ways. An order in the shop appears in the ERP immediately. The delivery status from the ERP shows up in the shop. The invoice flows into accounting automatically. Without retyping anything by hand.

We integrate systems at API level — not via CSV exports or copy and paste. That means type-safe data transfer, error handling when an API fails, retry logic for uninterrupted operation and a monitoring dashboard that warns you proactively before data becomes inconsistent.

Typical integrations: Weclapp ↔ Shopify (stock and order sync). HubSpot ↔ Weclapp (360° customer view). DATEV/Lexware ↔ ERP (automated bookkeeping). Multi-channel sync (your own shop + Amazon + eBay in one central ERP). Every integration starts with a free process analysis.

Our Process

From first call to go-live — in 4 steps

01

System audit

We analyse your current software landscape and find the weak points: where is data transferred manually? Where do double entries cause errors? Which systems have APIs, which need workarounds? The result is an integration roadmap prioritised by business impact.

02

Concept & data model

We define how data should flow between the systems — with clear rules for priority, error handling and logging. Each interface gets a data model: which fields are mapped, which transformations are needed and how conflicts are resolved (e.g. when the same product has different prices in two systems).

03

API development & testing

Building the interfaces with extensive tests. We test edge cases before they show up in production: what happens on a timeout? With invalid data? When the third-party system updates its API version? Every integration has a staging environment for test runs with real data structures.

04

Roll-out & monitoring

Step-by-step deployment with parallel operation: the integration first runs in shadow mode alongside the manual process until everyone involved is convinced. Then the full switch-over, with a monitoring dashboard that shows the sync status of every system in real time.

FAQ

Frequently asked questions

Basically anything with an API: Weclapp, Billbee, Shopify, WooCommerce, Lexoffice, sevDesk, HubSpot, Salesforce, SAP Business One, Xentral, Stripe, Mailchimp, Brevo and many more. For systems without a documented API we look at alternatives: direct database access through secured tunnels, file-based exchange (CSV, XML, JSON) or webhook receivers. In rare cases browser automation is an option too. What matters isn't which system you use, but which data should flow in which direction.
No. Integration means connecting — not replacing. We work with what you have and make sure the systems communicate. Sometimes we recommend switching systems when an existing one has no usable API or is no longer maintainable — but that's a recommendation, not a prerequisite for the integration.
Every integration has several layers of resilience: automatic retries with exponential backoff (first retry after 30 seconds, then 1 minute, 5 minutes, 30 minutes). Queue-based buffering — all messages are stored and replayed as soon as the connection is back. Alerts for critical errors by e-mail, Slack or SMS. A circuit breaker pattern that stops one failed system from blocking the others. And a monitoring dashboard showing the status of every connection in real time.
Simple two-way connections between two systems (e.g. Shopify orders → Weclapp orders): one to three weeks. Complex multi-system integrations with custom business logic, data transformation and error handling: four to eight weeks. A realistic schedule includes the test phase: we run in shadow mode alongside the existing process for at least a week before going live. After the intro call you receive an effort estimate with a timeline.
Simple two-way connections between two systems (e.g. Shopify → Weclapp for orders): €2,500–5,000. Complex multi-system integrations with custom business logic, error handling and monitoring: €5,000–15,000. Costs depend heavily on the complexity of the data models and the API quality of the systems involved. After the intro call you receive a binding quote.
Yes — in fact that's one of our most common cases. Many ERP and industry software systems have APIs that exist on paper but come with undocumented quirks in practice (missing fields, inconsistent data types, undocumented rate limits). We run an API audit, test all relevant endpoints systematically and document the actual behaviour before we build the integration.
Yes. Every integration is delivered with a monitoring dashboard and alerting. On top of that we offer maintenance packages from €200/month, covering regular updates, proactive monitoring and fast bug fixing. This matters especially for API integrations: third-party systems change their APIs regularly (new versions, renamed fields, changed rate limits). Our maintenance contract makes sure your integration keeps working after the provider's API updates.
Our integrations have built-in resilience: retry logic with exponential backoff, dead-letter queues for failed transfers and automatic notifications for critical incidents. No data gets lost.
Yes. We analyse the existing APIs and data structures and design an integration architecture that fits into your current landscape. Usually without any changes to your running systems.
