HubSpot CRM Integration: Capture, Qualify and Follow Up Leads
A HubSpot CRM integration connects website forms, email and sales: enquiries land in HubSpot automatically as contacts, are assigned to the right sales stage and trigger tasks or follow-up emails. HubSpot Free or Starter is usually enough to get started.

Most SMEs have a CRM — and use it as a digital address book. Contacts are created by hand, leads from the website form are forwarded by email, and the follow-up reminder is a sticky note on the monitor. That costs not only time but also revenue: the longer an enquiry sits there, the more likely it is that the prospect has spoken to a competitor in the meantime.
What a real HubSpot integration delivers

A professional HubSpot CRM integration goes far beyond the standard plugin. It automatically connects all lead sources (website, social media, email, phone) to your CRM and triggers the right workflows:
- Automatic lead capture — website forms, booking widgets and chat enquiries land directly in HubSpot as contacts
- Lead scoring — contacts are rated automatically by engagement, company size and interests
- Pipeline automation — qualified leads move through your sales pipeline automatically
- Follow-up sequences — automatic email sequences for leads that don't convert straight away
- Reporting — Which channel brings the best leads? Where do they drop off? How long is the sales cycle?
Technical integration: website → HubSpot → sales
The technical implementation of a HubSpot integration follows a clear pattern:
1. Connecting website forms to HubSpot
Instead of embedding HubSpot forms (which often don't fit the design well), we build our own forms and send the data via the HubSpot API. This gives full control over design, validation and user experience. Combined with custom web development, the result is forms that convert AND look good.
2. Webhook-based real-time synchronisation
When a contact in HubSpot takes an action (opens an email, clicks a link, fills in a form), webhooks can inform your system in real time. This enables lead notifications in Slack, automatic quote creation and appointment booking via your booking system synchronisation.
3. Two-way sync with ERP/accounting
A HubSpot deal becomes an order, and the order becomes an invoice. With system integration, we connect HubSpot to your ERP (weclapp, BMD, SAP Business One) in both directions — status updates flow both ways.
HubSpot Free vs. Starter vs. Professional

A common question: which HubSpot plan do I need?
- Free CRM — sufficient for contact management and a simple pipeline. Limited for automation (no sequences, no lead scoring).
- Starter — email automation, simple workflows and custom contact properties. The best entry point for most SMEs. Billing is per user; current prices are on hubspot.com.
- Professional — full automation, lead scoring and custom reports. Considerably more expensive than Starter and usually only worthwhile for larger sales teams.
Our recommendation: start with Free or Starter and upgrade as needed. The technical integration we build works with all plans.
Typical mistakes in HubSpot integrations
- Duplicate contacts — without deduplication logic, you'll quickly have the same lead three times. We implement merge rules via the API.
- Too many properties — every additional field that nobody fills in degrades your data quality. Less is more.
- No lifecycle management — lead → marketing qualified lead (MQL) → sales qualified lead (SQL) → opportunity → customer — if these stages aren't defined, your CRM is just a contact list.
- Ignoring API rate limits — HubSpot limits the number of requests per time period. Large imports therefore have to be split into smaller batches.
Integration with n8n for advanced workflows
For complex automations, we combine HubSpot with n8n workflow automation. Example: a lead fills in the contact form → a HubSpot contact is created → an n8n workflow checks the company size via an API → companies with >50 employees automatically receive a booking link, smaller companies an information sequence.
How a HubSpot integration project works
An integration project doesn't start with code but with your sales process. Only once it is clear how a lead reaches you today and what happens next can you decide what HubSpot should take over automatically.
- Process review: together, we record the channels through which enquiries arrive, who handles them and where information currently gets lost.
- Defining the data model: which properties does a contact really need, and which lifecycle stages are there? This is where it is decided whether your CRM stays clear later on.
- Building the integration: forms, appointment bookings and phone leads are connected via the HubSpot API, and duplicates are merged during import.
- Setting up automations: notifications, tasks and follow-up sequences start automatically as soon as a lead reaches a certain stage.
- Testing and training: every workflow is run through with test data. Your team gets a short induction so that the system is actually used day to day.

Data protection: using HubSpot in a GDPR-compliant way
HubSpot processes your prospects' personal data. To keep this legally sound, three points should be clarified before you start:
- Data processing: HubSpot provides a data processing agreement, which has to be concluded.
- Consent for tracking: the tracking code and marketing cookies may only load after consent has been given in the cookie banner.
- Data minimisation: only store fields you actually use in sales, and set deletion periods for old contacts.
A well-planned integration takes these points into account from the start instead of adding them later.
