Booking System Synchronisation

Anyone who offers holiday apartments, hotel rooms or services on several platforms knows the problem: a guest books on Airbnb, but availability on Booking.com and your own website only updates hours later — or not at all. The result: double bookings, manual cancellations and annoyed guests.

The cause is usually iCal feeds that only sync at fixed intervals (typically every 15–30 minutes). Within that window, more bookings can arrive on another platform. iCal feeds also only carry availability — no prices, guest names or extras. That isn't enough for a professional multi-channel operation.

We replace polling-based iCal sync with event-driven API integrations: as soon as a booking arrives on one platform, availability on every other channel is blocked within seconds. The system works both ways — changes on your own website are passed on to Airbnb and Booking.com just as much as the other way round.

Technically we work with the booking platforms' official APIs and a queue system for resilience. If an API is temporarily unavailable, all changes are buffered and replayed as soon as the connection is back. No data loss, no forgotten updates.

Our reference project Undercastle Cottage (UK) shows what a complete booking integration delivers: a Wix-based website with a Lodgify calendar, Airbnb connection, Stripe payments for direct bookings with deposit logic, automatic pre-check-in e-mails and one central dashboard for all booking channels.

The most common problem we see with new clients: iCal-based sync with a 15–30 minute delay. Within that window, more bookings for the same dates can arrive on another platform. It gets especially critical in high season, when enquiries come in every minute. Our solution cuts the sync time from minutes to under five seconds — through direct API integration instead of iCal polling.

Prices and timelines: simple two-platform sync (e.g. your own website + Airbnb) with two-way calendar alignment: two to three weeks of development. Multi-platform integration with payments, automatic guest e-mails and a central dashboard: four to six weeks. The investment pays off quickly, considering that every avoided double booking prevents a cancellation, a negative review and lost revenue for those dates.

Supported platforms: Airbnb (official Content API), Booking.com (Connectivity Partner API), Vrbo, Lodgify, Smoobu, your own website with a custom booking system, Google Calendar. For platforms without a public API we use iCal as a fallback — but with much shorter sync intervals and smart conflict handling.

Why is booking system synchronisation technically demanding? Because it isn't simply "copying data". Booking platforms have different data models: Airbnb works with nights, Booking.com with check-in/check-out times, your own website may have hourly slots. The sync logic has to handle these differences and resolve conflicts — what happens when the same dates are booked on two platforms at the same moment?
