Custom ERP software: only what your standard ERP cannot do

Your business runs on Excel lists, an ERP that does not quite fit, and a lot of retyping in between? We first check honestly whether a standard ERP covers most of your processes. Then we build only what is really missing: modules, interfaces, automations and portals. A fully custom ERP only when your processes truly call for it.

Where you are

Where many businesses get stuck

Excel islands instead of one shared data source

Stock, orders and costing sit in separate spreadsheets that only one person really understands. When that person is away, nobody knows which version is current.

Data is entered twice

Orders arrive in the shop, are retyped into the ERP and later transferred to accounting once more. Every manual step costs time and is a source of errors.

The standard ERP does not fit your process

Your business works differently from what the software expects. So workarounds, sticky notes and extra lists grow up alongside the actual system.

Customisations from the vendor are expensive or take forever

Every special request becomes its own project with the vendor or partner, or it is simply not possible. You adapt to the software instead of the other way round.

Decision

Standard ERP, extend it, or build your own?

The honest answer for most SMEs: a fully custom ERP is not the best start. If a standard ERP such as weclapp, BMD, Odoo, Microsoft Dynamics 365 Business Central or SAP Business One covers, as a rule of thumb, around 80 percent of your requirements, it usually makes more sense to add only the remaining 20 percent. We work out together which of the three options suits you:

Introduce a standard ERP

Fits when

  • Your processes are typical for your industry: quote, order, stock, invoice
  • You want to get started quickly
  • Special requirements are rare

Pros

  • Ready to use quickly
  • The vendor handles updates and maintenance
  • Accounting connections and legal requirements are maintained by the vendor

Cons

  • Ongoing licence costs, usually per user
  • Your process follows the software
  • Customisation is limited or costly
The best route for most SMEs

Extend a standard ERP

Fits when

  • The ERP covers most of it, individual steps are missing
  • Data is entered twice between shop, ERP and accounting
  • You need a configurator, a portal or document capture

Pros

  • The proven foundation stays in place
  • You only pay for what is missing
  • Connected through official interfaces so ERP updates remain possible

Cons

  • You depend on the vendor’s interfaces
  • Two building blocks to maintain: the ERP and the extension

Build your own ERP

Fits when

  • Your core process is unique and your competitive edge
  • No standard ERP covers it without massive rebuilding
  • You plan long term and want full control

Pros

  • Exactly your process, without detours
  • No per-user licence costs
  • Full control over data and further development

Cons

  • Highest initial investment and longest timeline
  • Maintenance and development are your responsibility or your provider’s
  • Accounting usually still stays in standard software such as BMD or DATEV

We do not sell ERP licences and do not earn anything from which system you choose. That is why we can also tell you when a standard solution is enough without any extra development.

Services

What we build for your ERP

Add-on modules and extensions

Features your ERP lacks: for example a product configurator, your own costing, approval steps or a solution for a process only your business runs this way.

Interfaces to shop, CRM and accounting

We connect your ERP to your online shop, CRM and accounting, for example BMD or DATEV. Orders, master data, status and invoices are entered once and then flow on automatically.

AI document capture with human confirmation

The software reads orders, delivery notes or invoices from PDF and prepares the data. Before anything goes into the ERP, a person checks and confirms it, so your team stays in control.

Customer and partner portals

Your customers see order status, documents or deliveries themselves, partners enter orders directly. The data comes from your ERP and goes back into it.

Reports at the click of a button

Figures from ERP, shop and accounting in one place, instead of copying them together in Excel from several programs for every monthly report.

How it fits together

Your systems stop copying data to each other

ERP, CRM, booking and payment stay where they are — what changes is that they finally talk to one another.

Two projects from practice

fiber4net, fibre-optic provider (2025)

For fiber4net we built a bidirectional interface between weclapp ERP and Shopify: orders from the shop flow into the ERP automatically, and order status and tracking numbers are sent back.

  • Invoice generator connected directly to weclapp
  • Custom Shopify app with product configuration and ERP connection
  • Orders no longer have to be moved by hand between shop and ERP

Project for a manufacturer of steel bending machines

PDF documents are turned into machine data. The whole process is automated, but deliberately includes a confirmation step in which a person checks the recognised data before it is processed further.

  • Conversion of PDF documents into machine data
  • End-to-end automation with human confirmation
  • Complex integrations across several interfaces (APIs)

Working together

How we work

01

Initial call (free)

You describe your processes and your current system. We tell you honestly whether standard, extension or custom development is the obvious route.

02

Process review

We look at your processes in detail, on site in Graz and Styria or by video call, and note where data is entered twice.

03

Fixed-price quote

You receive a fixed-price quote for a clearly defined first step, not for a large project with no end in sight.

04

Step-by-step delivery

The building block with the biggest benefit comes first. You see regular progress and test with real data.

05

Operation and further development

After launch we monitor the interfaces and keep developing if you wish. You can also take over the support yourself.

You own the code

Source code, server access and accounts belong to your company, and that is in the contract. With the documentation, another developer can continue the work at any time.

Funding

Check funding for digitalisation projects

Depending on the project, aws (Austria Wirtschaftsservice) and, in Styria, SFG may fund digitalisation projects. Important: you usually have to apply before the project starts. We discuss in the initial call whether a programme could apply to your ERP project.

On site and remote

In person in Graz, remote across Austria

EA Digital Solutions e.U. is based at Liebenauer Hauptstraße 41 in Graz. For the process review we are happy to visit your business in Styria. We work remotely with companies in Vienna, Upper Austria, Salzburg or Carinthia, with the same direct contact to the developer who builds your solution.

FAQ

Frequently asked questions about ERP development

What does a custom ERP solution cost?

It mainly depends on whether we extend an existing ERP or build a system of your own. A single interface or add-on module costs far less than a complete ERP. After the free initial call and the process review you receive a fixed price for a clearly defined first step, with no open-ended hourly billing.

How long does development take?

An interface or extension for an existing ERP is usually done in weeks, a custom ERP takes months rather. We deliver step by step: the building block that removes the most manual work goes live first. We set out the exact schedule together with the fixed price in the quote.

Custom ERP or standard ERP: which is better?

For most SMEs a standard ERP is the better start, complemented by what it lacks. A custom ERP only pays off when your core processes are truly unique and no standard product covers them without being rebuilt so heavily that updates become a risk. We weigh this up openly with you before you commission anything.

Which ERP systems do you connect?

In principle any system with a documented interface (API) or clean import and export, for example weclapp, BMD, Odoo, Microsoft Dynamics 365 Business Central or SAP Business One, plus shops, CRM and DATEV. We have already built a production shop integration with weclapp. We check what your system’s interface allows before we quote.

Do we own the code?

Yes. The source code, server access and all accounts belong to your company, and we put that in the contract. You also receive documentation so that another developer or your own IT can continue the work. You are not tied to us, even though we are happy to look after the system.

Do you work outside Graz?

Yes, across Austria. We are based in Graz, so meeting in person in Graz and Styria is easy, for example for an on-site process review. With companies in Vienna, Linz, Salzburg or other regions we work remotely, by video call and with regular progress you can try out.

Where is our data stored, and what about data protection?

We host your ERP data in data centres in the EU, or on your own infrastructure if you prefer. We sign a data processing agreement for the processing. For AI-assisted document capture, we agree in writing before the project starts which data goes to which service.

Can we keep our existing ERP?

In most cases yes, and that is often the most economical option. We add missing modules, interfaces or automations to your existing system instead of replacing it. Your staff keep working in the interface they know, and the data that is entered twice today flows automatically.

Your next step

Let’s find out what your ERP is missing

In the free initial call we work out whether a standard ERP is enough, what should be added and what a sensible first step looks like. Then you receive a fixed price.
