Automate ERP processes, eliminate manual work.
Weclapp is one of the most popular ERP solutions for growing SMEs in German-speaking countries – but its API is complex and poorly documented for edge cases such as multi-level bills of materials, customer-specific price groups or lot tracking. We build custom Weclapp integrations that connect your website, shop or customer portal with Weclapp in both directions: web shop orders automatically create sales orders in Weclapp, invoices are mirrored back, stock levels stay in sync. The prime example of our work: the fiber4net integration, where complex civil engineering product rules, customer classes and truck-load logic are controlled fully automatically from Weclapp – with no manual intervention by the sales team.

Typical Challenges
Weclapp is highly flexible — but the standard configuration often does not map your specific workflows. Custom extensions via API close this gap.
Weclapp + Shopify + HubSpot + accounting — four systems synchronised manually. An integrated architecture with Weclapp as the hub ends the data ping-pong.
Our Solution
Automated order processing: shop → Weclapp → shipping → accounting
QR code label generation straight from Weclapp orders
Custom PDFs: tailored quotes, order confirmations, delivery notes, invoices
Two-way CRM sync: Weclapp ↔ external sales tools
Complex product rules and price calculations implemented (e.g. civil engineering / truck loads)
Real-time overview of every order status without manual reconciliation
In Detail
Weclapp is a powerful cloud ERP that combines order processing, warehouse management, CRM and accounting in one system. But an ERP only shows its strength once it communicates with the company's other systems — the web shop, the customer portal, logistics, the accounting software.
The Weclapp API offers a lot, but it's challenging in practice: rate limits of 100 requests per minute require smart queuing at high volumes. Certain endpoints (multi-level bills of materials, customer-specific price groups) are only partially documented. And the mapping logic between Weclapp data structures and external systems gets complex quickly.
We have solved these challenges in several projects. For fiber4net we built an integration that automates the entire civil engineering ordering process: complex product configurations (cable type, length, sheath colour, connector type) are configured in the web shop, the price is calculated in real time from Weclapp price lists (including customer-specific discount groups), and the order is created in Weclapp as a complete sales order with every line item. This includes automatic PDF generation for quotes, order confirmations and delivery notes with custom formatting.
Another focus: warehouse and shipping logic. We sync stock levels in real time between Weclapp and the web shop, implement batch tracking and generate QR code labels directly from Weclapp order data. For companies with several warehouses we model allocation rules — for example which warehouse serves which postcode region.
Typical integration scopes: order processing (web shop order → Weclapp sales order → picking → shipping → invoice) is the classic. We also frequently implement: two-way customer data sync between the website CRM and Weclapp contacts. Automatic real-time stock alignment between Weclapp and the web shop. PDF generation for custom-designed quotes, order confirmations, delivery notes and invoices on your letterhead. QR code labels for items and storage locations straight from Weclapp data.
Prices: a simple Weclapp integration (e.g. importing orders from a web shop): from €3,000 with two to three weeks of development. A complex full integration with custom business logic (like fiber4net with product rules, price groups and truck-load logic): from €8,000 with six to eight weeks. Running costs are limited to server hosting for the middleware (€20–50/month) and optional maintenance.
Why EA Digital Solutions for Weclapp? We have extensive experience with quirks of the Weclapp API that aren't in the official documentation: rate-limit handling for bulk operations, correct treatment of custom fields, workarounds for endpoints that behave differently than documented. That experience saves you weeks of trial-and-error development. The fiber4net integration is our reference project and shows how far a Weclapp integration can go — from price calculation to automatic PDF generation.
